1. How does Membership System work?
It is a web based system with a contact database as the central feature. Enter all your members into the database, either manually or all at once (from a spreadsheet for example), then you run your group from the system.
2. How does Membership System know who to invoice?
Each contact record has a Dues Screen. You set up the screen initially by date, rate, and service. An example entry would be 3 month membership, at $35 per month, beginning on April 1. The system picks this up, creates the invoice, and automatically adjusts the start date to July 1.
3. What format are the invoices?
The invoices are output in MS Word format. They come out as a mulit-page Word doc that can be printed. Invoices are in a specific format that is provided with the system. These are pre-printed forms. You print the invoice, formatted in word, on top of the forms. Mailing labels are formatted in XML in printed using a Dyno label printer.
4. Does the Membership System keep track of who has paid?
When an invoice is printed, a notation is automatically made into that contact's payment record. It enters a debit for the amount on that day. When payment is received, you make a corresponding notation credit for the client. If the debits and credits balance, the client is current.
5. How do I know where I stand financially?
The system includes an Accounts Receivable Report that can be run in past due, 30 days past due, 60 days past due, and 90 and 120 days past due modes. These are online reports, where each entry links directly to the corresponding contact record making it easy to chase down payments and keep clients current?
6. How do I market to my Membership?
There is a download spreadsheet function that sets up a datafile that is can be used to mail-merge Microsoft Word. Using the download spreadsheet function you always have a 100 percent accurate database to market to.
7. Does the system work with Email?
We recommend our Broadcast Newsletter module. With Broadcast Newsletter creating and sending an E-Zine is no harder than entering your text and clicking a button. Alternatively you can download a spreadsheet (including email) and use that with third party Email software.
